Illustration of a secure portal with folders and a padlock

Email threads and shared folders can become difficult to manage when customers need to send information, check progress or access documents repeatedly. A client portal gives the right people a defined place to complete those tasks.

We design and develop web portals around the information users actually need and the permissions that should protect it.

What might a client portal include?

A portal could allow customers to register or sign in, upload documents, complete forms, track a request, see previous submissions or receive messages. A staff-facing area might let authorised users review, approve, assign and update those records.

These features should reflect the business's process. An extra dashboard has little value if nobody knows who is responsible for the next action.

The important part is who can see what

A portal needs more than a login screen. We map roles and permissions at the record level. A user should not be able to access another customer's information by changing a link or guessing an identifier. Staff access should be limited to what each role requires.

Projects involving personal information also need suitable handling of data retention, audit logs, access reviews and applicable privacy obligations, including POPIA where relevant. The business remains responsible for its own legal compliance and policies.

Useful features to decide early

  • The different user roles and who approves new accounts.
  • The records, files or requests each role may access.
  • How notifications are sent and whether users can reply.
  • File size limits, validation and malware precautions.
  • Staff workflows, deadlines and status definitions.
  • Whether external systems need to create or update records.
  • What happens when someone leaves the business or asks for information removal.

Do you need a portal or a simpler form?

If a customer sends information once and does not need to return, a structured web form may be enough. A portal becomes more useful where the relationship is ongoing and users need secure access to history or status.
